Applied Business is committed to ensuring that your privacy is protected. Below you will find answers to some common questions relating to GDPR regulations and how your data is handled and protected by Applied Business.

How does Applied Business use my company’s data?

We typically use your data to log calls and process orders. Another consistent reason is to maintain records with our suppliers and to keep customers informed about our software updates via email, post and telephone. We are committed to ensuring that your information is securely protected and utilise a number of physical, electronic and managerial procedures to safeguard and secure the information that we hold.

Explaining the Legal bases we rely on

The law on data protection sets out a number of different reasons for which a company may collect and process your personal data, including:

Consent

In specific situations, we can collect and process your data with your consent.

For example, when you tick a box to receive email newsletters.

When collecting your personal data, we’ll always make clear to you which data is necessary in relation to a particular service.

Contractual Obligations

In certain circumstances, we need your personal data in order to comply with our contractual obligations.

For example, if you order an item from us for delivery we will collect your address details to deliver your purchase and pass them to our courier

Legal Compliance

If the law requires us to, we may need to collect and process your data

Legitimate Interest

In specific situations, we require your data to pursue our legitimate interests in a way which might reasonably be expected as part of running our business and which does not materially impact your rights, freedom or interests.

For example, we will use your purchase history to send you personalised offers.

We also combine the purchase history of many customers to identify trends and ensure that we can keep up with demand or develop new products/services.

We will also use your address details to send you direct marketing information by post, informing you about products and services that may interest you.

Data Retention: How long does Applied Business maintain my company’s data for?

We will keep the data of our customers for a period of five years at which time we will contact your company to ascertain whether there are any notable changes/updates that need to be logged. If we are notified during the five year period about any deletions, corrections or additions they will be completed immediately.

Who does Applied Business share my company’s data with?

Applied Business will not sell or distribute your personal information to any third parties unless it is a legal requirement or authorised by you. Only the necessary Applied Business employees and your relevant developer and software supplier will have access to your data.

Who has access to the data Applied Business holds on our company?

As mentioned above, employees of Applied Business are the only people who have direct access to your information. In case of any data corruption we may allow your supplier (Greentree/Pegasus) access as well. If this is required we will always seek consent from our customers in advance.

How is our data handled if you need to send it to Pegasus or Greentree?

If we have to share your data with one of our relevant partners we will always encrypt and password protect it. We will ensure that our partners only retain data as long as it is required and that that they treat it with the GDPR recommendations in regards to data security.

How is data handled when we collect data for conversion?

If it is necessary for us to hold your data to enable us to work on data that will be inputted into a new system then we will treat that data with the utmost security. It will also be deleted as soon as it is no longer required.

How do I cease communications with Applied Business

If you wish to opt out from our mailing list then you should utilise the ‘unsubscribe’ button which is embedded in every email that we send. Alternatively, you can contact us and request to be removed personally by emailing Kathy@apppliedbusiness.co.uk.

What is the procedure for logging a Subject Access Request (SAR)?

Simply contact either of our Data Protection Representatives, Kathy or Andrew via phone (01767 677071) or by email; kathy@appliedbusiness.co.uk or andrew@appliedbusiness.co.uk.

Your request will be fulfilled within 30 days in accordance with GDPR regulations. The SAR will be provided to you, free of charge.

What are the procedures for changing/deleting our Data on request?

Any changes to your data that we hold will require instruction from yourself to either of our designated Data Protection representatives in written format to kathy@appliedbusiness.co.uk or andrew@appliedbusiness.co.uk.

What is Applied Business’ procedure if my company’s data is compromised?

If it comes to our attention that there may have been a data breach we will assess the threat. If we deem it to be a severe breach it will be reported immediately to the ICO in accordance with the latest GDPR regulations and dealt with accordingly. You will also be notified immediately.

What should I do if I believe my company’s data has been compromised?

If you believe there has been a possible breach of your data that we may be unaware of please contact either of our Data Protection Representatives immediately.

If any significant changes to this page are made in the future we will notify our customer directly.
